Coordinate production activities in Tengiz office service subgroups: telephone operator, audio-video services, conference room reservations, stationery, archive, mail center, reprography, library. Performs weekly facility inspections and staff performance reviews. Working closely with COMPANY departments on the provision of office infrastructure. Ensures continuity of staff and assists staff with office problems and inquiries. Implementation of coordination, direction of staff work schedules. Managing workflows related to office administrative support. Ensuring compliance with internal regulations and policies, including rules of conduct and safety regulations Maintaining reports of all types and providing data on office services activities. Submission of weekly and monthly reports , various statistics on all activities of the team as requested by management. Supervising the completion of necessary mandatory COMPANY trainings. Resolving interpersonal conflicts and interacting with employees in the workplace. Assist in maintaining the health and safety of employees in the workplace Facilitate the onboarding process for new personnel, including workspace setup, orientation coordination, and access provisioning. Ensure smooth offboarding procedures for departing staff. Monitor and manage office supplies, equipment, and assets. Coordinate procurement requests and maintain accurate inventory records. Participate in emergency drills and ensure staff are familiar with evacuation procedures and safety protocols. Track and report key performance indicators (KPIs) related to office services and personnel coordination.
Bachelor's degree in Business Administration, HR, Facilities Management, or related field (preferred) Minimum 3–5 years of relevant experience in office administration or personnel coordination, preferably in an industrial or remote site setting Strong organizational and coordination skills Proficiency in MS Office Suite and office management systems Knowledge of HSE principles and corporate safety practices Ability to work independently and manage multiple tasks Strong interpersonal and communication skills in a cross-functional and multicultural environment Experience working with KPIs, reporting tools, and compliance systems
